Position Overview

Ultimate Staffing Services is actively seeking a dedicated Billing Coordinator to join their client's team in California. This role requires a proactive individual who can manage billing processes efficiently while collaborating with various teams to ensure smooth financial operations. The position offers an opportunity to develop skills in both billing and finance functions, providing valuable support to the company's finance team.

Responsibilities

  • Prepare, review, and process customer invoices in a timely and accurate manner.
  • Assist with accounts receivable (AR) tasks, including payment posting, account updates, and basic collections follow-up as needed.
  • Support accounts payable (AP) functions such as invoice entry, vendor file maintenance, and payment tracking.
  • Reconcile billing records, customer accounts, and vendor statements to ensure accuracy.
  • Maintain organized and up-to-date financial records using accounting or billing systems (ERP software, spreadsheets, etc.).
  • Respond to internal and external inquiries regarding invoices, payments, and account status.
  • Assist with month-end close support tasks, including data entry, reporting, and documentation.
  • Collaborate with accounting and operations teams to resolve discrepancies and improve billing processes.
  • Ensure compliance with internal financial controls and company procedures.
  • Participate in special projects and provide general administrative support to the finance team as needed.

Qualifications

  • 1-3+ years of experience in billing, bookkeeping, accounting support, or general office/finance administration.
  • Basic understanding of accounting principles (AP, AR, invoicing preferred but not required-training available).
  • Strong attention to detail with the ability to maintain accurate financial records.
  • Proficiency with Microsoft Office (especially Excel) and willingness to learn accounting software systems.
  • Strong organizational skills with the ability to manage multiple deadlines and priorities.
  • Excellent communication skills for interacting with customers, vendors, and internal teams.
  • Positive, team-oriented attitude and willingness to learn and grow within the finance function.

Required Work Hours

The position operates during 1st shift hours, Monday through Friday.

Compensation & Benefits

  • This non-exempt, full-time position pays an hourly rate of $25-27.

Additional Details

The maximum pay for this position is $27 per hour, and the minimum pay is $25 per hour.
